Bank and books
Connect QuickBooks Online to Sondola
Bring Net burn, books, credit card debt, accounting revenue and spend by category into the same review as the bank balance and subscription growth, without treating any one of them as the whole picture.
Read-only. Sondola never changes your data in QuickBooks Online. Setup reviewed 20 September 2026.

What Sondola reads from QuickBooks Online
- Net burn, books
- Credit card debt
- Revenue
- Gross margin
- Spend by category and vendor
The QuickBooks Online connector supplies Net burn, books, credit card debt, revenue, gross margin, and spend by category and vendor. It uses an automatic collector, so it does not require the per-metric selection step used by sources labelled Pick the metric.
Net burn, books and a bank balance answer different questions and will not agree. Net burn, books reflects expenses recognised in a period. Cash on hand from a bank reflects money present on a date, and Net burn, bank from Mercury reflects money that left the bank. Keep them all, and read the dates on each.
Each spending line keeps its date, amount, vendor or account name and category. A closed month's Spend comes from your books.
What you need
- A free Intuit developer account, and access to the QuickBooks company you want to read.
- Patience for one approval step. Intuit requires a short app assessment questionnaire before it issues production keys, even for a private app built for your own company. That is the slow part, usually minutes to a day.
- A figure in QuickBooks you can compare the first reading against, and the report basis it used.
Collection timing and the period a reading covers are separate. Check the source's data-through date as well as the metric's reporting period.
Connect QuickBooks Online in 5 steps
- Create an app
Go to developer.intuit.com, then My Hub, App dashboard, Create an app, QuickBooks Online and Payments. Name it and give it the Accounting scope.
Open the Intuit app dashboard ↗ - Complete the production questionnaire
In your app, open Production, then App assessment questionnaire, and choose the private app option. You are building this for your own company.
The Production tab under Keys and credentials only appears after the questionnaire is approved. If you cannot find your production keys, this is why. - Add the redirect URI
In Keys and credentials, Production, Redirect URIs, add the redirect URI exactly as the Sondola connection panel shows it, then save. Copy it from the panel rather than typing it. Intuit matches it character for character and a trailing slash will fail the handshake.
- Copy the Client ID and Client secret
Both are on the same Production tab. Paste them into Sondola and press Connect to QuickBooks.
- Approve on Intuit's page
Pick your company and approve. The refresh token and the company (realm) ID arrive by themselves. You never look either of them up and you never paste them.
Enter credentials only in your Sondola workspace. Keep keys out of screenshots, public repositories and support messages.
Permissions
- The connection is scoped to Accounting and reads reports. It cannot post transactions, edit the books or move money.
- OAuth 2.0 through your own Intuit developer app.
Refresh and first reading
Twice a day. Most tools refresh once or twice a day, and every number shows when it was read.
Limits and history
- The connection is scoped to Accounting and reads reports. It cannot post transactions, edit the books or move money.
- The refresh token expires on a fixed date. Intuit caps a refresh token at five years and no longer renews it through use. Accounting-scope tokens issued from October 2023 expire in October 2028, and Intuit returns the expiry date with every refresh. When it expires you reauthorise once. Sondola stores the newest token on every use and surfaces the expiry on the connection, so this should reach you as a warning rather than a silent stop.
- Refresh happens one at a time on purpose. Two refreshes in parallel cause Intuit to revoke both tokens, which is the most common way a working QuickBooks connection dies.
- Your books are editable after the fact, so a closed period can change. When a published figure changes, Sondola records a restatement with the reason rather than overwriting it.
Verify your first reading
- Open Net burn, books and check What it means. Confirm you are reading burn from your books and not a change in the bank balance. They are different numbers and they will not agree.
- In Where it comes from, confirm QuickBooks Online and the reporting period. Run the same period in QuickBooks on the same basis before treating a difference as an error.
- Check the report basis. An accrual figure and a cash-basis figure for the same month are both valid and will differ.
- Check credit card debt separately from cash. An obligation is not a negative balance and should not be netted against cash on hand without deciding to.
- Read the captured date and the connection status separately. Books change after a period closes, and a figure captured on the fifth is not the same as the same figure captured on the twentieth.
Troubleshooting
I cannot find the Production tab.
It appears only after the app assessment questionnaire is approved. Complete it in your app under Production.
The handshake fails after I approve on Intuit's page.
The redirect URI has to match exactly. Copy it from the Sondola connection panel rather than typing it, and check for a trailing slash.
The connection stopped and says Intuit no longer accepts the refresh token.
Press Reauthorize and approve again. This is either the token reaching its expiry date or two refreshes having run in parallel. Reauthorising fixes both.
Net burn, books does not match my QuickBooks report.
Compare the period and the basis. Accrual and cash basis for the same month are both correct and different. Then compare the capture dates, because books change after a period closes.
